Activity Fee:
The Activity Fee is a charge paid by all families to help off-set the costs and upkeep of our computers, gyms, physical education equipment and resources for our fine arts departments. Families will be charged $250.00 per child with a total maximum family charge of $500.00 per year.

Families Paying All Fees In Full:
Must be paid by May 31, 2012

Families paying all fees in full by May 31, 2012 will receive a 5% discount off their yearly tuition fee.

To qualify please submit the following:

January 4th - January 27th, 2012

Submit the student\'s re-enrollment form with $500.00 and indicate on the back of the form your intent to pay in full

January 4th - May 31st, 2012

Prior to submitting payment please contact sandrasmith@hgbc.org to obtain exact amount of payment.
Payments must be received by the Finance Department by May 31, 2012. Payments may be given to the receptionist when entering the Main Education Building (Mon. thru Fri. 8 am - 5 pm) or by mailing to HGCS Finance Dept., Attn. Sandra Smith, 6050 Hickory Grove Rd., Charlotte, NC. 28215.

Siblings of current HGCS students and New Applicants to HGCS will complete a New Student Application On-line and will be eligible for the 5% discount off tuition after receiving official acceptance by HGCS.

Payment in full for all yearly fees will apply and must be received within (2) weeks of acceptance.

Families Making Bi-Weekly or Monthly Payments:

All payments for HGCS will be handled by FACTS in the form of a bi-weekly or monthly draft.

Payments will draft on the 2nd or 16th of each month from a checking or savings account without a service charge.

FACTS will also accept payments from American Express, Visa and Discover with a 2.5% service charge per payment. A payment plan must be established with the HGCS Finance Department prior to the first day of a student\'s attendance. New parents will be directed to the school\'s website and given instructions regarding registering with FACTS.

FACTS Payment Options:
12 month option - Once per month (June 2nd or 16th) Must be received prior to May 15, 2012
12 month option - Twice per month (June 2nd and 16th) Must be received prior to May 15, 2012
11 month option - Once per month (July 2nd or 16th) Must be received prior to June 15, 2012

10 month option - Once per month (Aug. 2nd or 16th) Must be received prior to July 15, 2012

FACTS Registrations received after July 15, 2012 will have yearly charges divided into equal payments dependent on payment options available. All drafts will have an end date no later than May 16, 2012.

Adventure Days (days when school is not in session)
Adventure Days is a program that provides child care services and activities for all HGCS students TK - 7th grades when school is not in session. Students must be preregistered with the afterschool department and make payment of $35.00 per day at least one week prior to each adventure day. In order for activities to be planned, students making yearly Adventure Day payments will also be required to register in advance with the afterschool department.

FINANCIAL POLICIES

HGBC Members:
Hickory Grove Christian School is a ministry of Hickory Grove Baptist Church. Families who are active attending members of HGBC are eligible to receive the membership discount. If you become an active attending member during the school year, please notify the school finance office. If your membership changes and you are no longer attending HGBC, please notify the church office and the HGCS Finance office.

Senior Class Exit Process:
During the month of May, all seniors and their parents are encouraged to verify that all school accounts have been paid to date, including FACTS, lunch account, graduation fees, and athletic fees. Prior to graduation make sure that all library books and classroom textbooks have been returned. Seniors will not be permitted to participate in senior graduation activities/ceremonies until cleared by the finance department.

Class Trips:
Students in grades 8 and 12 scheduled to attend Washington DC or the Dominican Republic must be current on their tuition payments in order to participate. If an account is not current prior to the month in which the trip is scheduled, the student will not be permitted to attend regardless of monies paid toward the trip.

Withdrawals:
Each child is considered enrolled for the entire school year unless the admissions office receives your written withdrawal notice a minimum of (2) weeks prior to withdrawal. Parents will also be asked to schedule an exit interview with the Head of School.

Student Records:
Student recommendations, records, transcripts, etc., will not be released during the year or at year end unless all financial accounts are current and cleared by the finance department.

FACTS PAYMENT & DELINQUENCY GUIDELINES

FACTS Payment Plans:
All HGCS families will be given the opportunity to make monthly or bi-weekly payments by registering with FACTS Management Program. Parents new to HGCS will be directed to the school\'s website regarding the procedure after notification of acceptance has been received from the Admissions Department. A payment plan must be selected prior to the first day of a student\'s attendance. Payment plans will draft on the 2nd or 16th of each month from a checking account, savings account or by credit card. As a courtesy, a few days prior to each draft, FACTS will send a reminder.

FACTS registrations will not be necessary for parents planning to make payment in full for all yearly charges, please contact the HGCS Finance Department and make payment directly to HGCS.

Changes to Drafts:
If changes to draft dates are needed after the initial set-up has taken place, please contact the HGCS finance department. All requests must be received in writing and sent to the HGCS finance department, e-mails may be sent to sandrasmith@hgbc.org. Changes may only occur between September 1st - December 31st for the current school year. Between the months of Jan. 1st - May 16th no changes will be permitted for the current school year.

In order for a change to be considered, payments must be current.
The new changes will not take effect until the month following the request.
Parents may request (1) change to a draft date, such as from the 2nd to the 16th/ 16th to the 2nd or changing between once per month to twice per month or the reverse.
Additional requests for change will result in a $50.00 fee being added to the FACTS account.

As a reminder, all parents have an opportunity to make changes without penalty during yearly re-enrollment for the following school term.

Delinquent Payments:
If the initial or 1st attempt fails and returns for non-sufficient funds, FACTS will notify the parents by e-mail of the delinquency and the automatic reschedule date.
FACTS will assess a $30.00 return fee that will draft within (7) days.
The original draft will then reattempt (1) time, occurring 14 days after the 1st attempt.
If the re-attempt fails, the charge will be moved to an unresolved status (FACTS will no longer make draft attempts for the failed payment).
An additional $30.00 return fee will be assessed by FACTS and draft within 7 days.
Return fee charges that return as non-sufficient will also reattempt (1) time. All return fee charges must either draft as scheduled or be paid directly to FACTS on-line. Please contact FACTS 866.441.4637.

If an account goes into an unresolved status, parents will be given (2) business days to contact the HGCS Finance Department to either make a payment or arrangements suitable to the finance department. Communication may be made by phone 704-566-7518 or email to sandrasmith@hgbc.org.

Recurring Delinquent Payments:
Accounts that become delinquent a second time during a school year will be permitted (1) reattempt, if the reattempt is not successful and the payment becomes unresolved, the parents will be notified and withdrawal of the student will take place. Re-enrollment for the following school year will be denied and re-entry will not be considered. If an account has been cleared within the time constraints stated, the student may remain and re-enroll for the following school year.

Unresolved Payments:
If payment arrangements for unresolved charges are not fulfilled as per agreement, the parents will be notified and the student will be withdrawn from the current school year.

If the student has Re-enrolled for the upcoming year, the application will be pulled by the Admissions Office if already accepted between January and May.
Year- End Delinquencies:
If a delinquency occurs at year-end, the student will not be allowed to re-enroll for the following school year.

Student Withdrawals Due to Delinquent Payments:
If a student is withdrawn from HGCS due to financial delinquency; all grades, test scores, report cards, transcripts and cumulative records will be held until the account has been paid and cleared by the finance department.

Procedures for extra payments on-line with FACTS:
Parents are given the opportunity to make advance payments or clear past-due drafts on-line by logging onto https://online.factsmgt.com and entering their user name and password. Once your account appears, click on your agreement number, then press Make a Payment and apply the payment toward a specific draft date or to all remaining payments. FACTS will automatically recalculate all remaining drafts. Payments made online with FACTS, may occur at any time during the year and for any amount. *Note: Payments applied to a specific draft date must be entered a minimum of two business days prior to the draft.
